On the day itself, someone has to track attendance for every session across multiple rooms. Before this system existed, all of that happened through email threads, shared spreadsheets, and printed check-in lists. For a conference with over a thousand attendees, it was a logistical challenge every single year.
The system handled everything from submission to check-in. Payments processed automatically. QR codes replaced printed lists. Reminder emails went out on schedule. Organizers could focus on running a great conference instead of chasing down records.

Our Approach
We mapped out the entire conference lifecycle from paper submission to post-conference reporting and identified every place where manual work was creating delays. Then we built a system that replaced those bottlenecks with automated steps while keeping organizers informed at every stage. The QR-based attendance tracking was designed to work reliably on any device, even in venues with limited connectivity.
